Confirm the equipment first, then the arrival plan and the total charge. A few written details make a rental much easier to arrange.
1. Confirm the equipment with the right people.
Ask your care team which bed, mattress, and accessories are appropriate for the intended user. Then give the rental supplier those specifications. A listing that says “hospital bed” does not identify the exact configuration that will arrive.
- Exact bed model and which adjustments are powered.
- Mattress type, size, and whether it is included.
- Accessories supplied, and whether any are charged separately.
- The specifications and capacity of each part of the supplied setup.
- Who to contact if the equipment does not work as expected.
2. Explain the access to the room.
Describe steps, elevators, doorways, parking restrictions, and the room where the bed will go. Ask the supplier what measurements it needs. Confirm who prepares the space and whether setup is part of the delivery charge.
3. Request a written total for exact dates.
Include the equipment rental, delivery, setup, pickup, taxes, and any additional charges. Ask whether the quoted “month” means a calendar month or a fixed number of days, whether the term has a minimum, and how an extension would be billed.
If a charge is unknown, leave it marked unknown. Do not treat an unlisted delivery fee as free delivery.
4. Agree on arrival and pickup.
Ask how a delivery window is confirmed and whether evening or weekend service has a different price. Arrange who can receive the equipment. Clarify whether pickup must be requested separately and when rental billing ends.
5. Keep the practical details together.
Save the model, dates, written total, delivery contact, support number, and return instructions. If you hope to use insurance or another funding source, confirm eligibility and supplier requirements directly before booking a self-pay rental.
